This Privacy Policy explains how EPEVER handles personal data when you visit our website, browse the product catalogue, download documentation, create an account, place an order, request a quotation, contact support or apply to become a partner. It also explains your rights and how to exercise them.

1. Who is responsible for your data

2. Data we collect

  • Account data: name, email address, password (stored only as a hash), preferred language and country, and the sign-in method you use.
  • Order and checkout data: billing and shipping address, phone number, company name and VAT number where provided, ordered products, prices, VAT, shipping method and order history. Card details are entered directly with our payment provider and never reach our servers.
  • Quote requests: the products and quantities requested, delivery destination, company details and any project information you add.
  • Contact and support requests: your contact details, the product involved, serial numbers, attachments and the content of your message.
  • Partner applications: company name and address, activity type, website, contact person and the commercial information you submit.
  • Newsletter data: your email address and subscription status.
  • Usage data: pages viewed, searches, product comparisons, favourites, device and browser type, approximate location derived from your IP address, and technical logs used for security and troubleshooting.

3. Why we use your data and on what legal basis

  • To perform a contract: creating and managing your account, processing orders, invoicing, arranging shipment and handling returns or warranty cases.
  • To take steps at your request: answering contact forms, preparing quotations and assessing partner applications.
  • Legitimate interests: keeping the website and accounts secure, preventing fraud and misuse, improving our catalogue and documentation, and communicating with business customers about products they already use.
  • Consent: newsletters and optional cookies. You can withdraw consent at any time without affecting processing already carried out.
  • Legal obligation: accounting, tax, customs and product-compliance record keeping.

4. Cookies and similar technologies

We use strictly necessary cookies for sign-in, session handling, cart contents, security and language or country selection; these are always active because the website cannot function without them. Optional preference, analytics and marketing cookies are only used if you enable them.

5. Who we share data with

We share personal data only with parties that need it to deliver our services:

  • hosting, database and email delivery providers that operate the platform on our behalf;

  • carriers and logistics partners, to calculate shipping and deliver your order;
  • our business administration and ERP systems, for invoicing, stock and order handling;
  • authorised EPEVER distributors or partners, where that is necessary to answer your specific request;
  • advisers or authorities, where we are legally required to do so.

We do not sell personal data.

6. International transfers

EPEVER operates internationally, so your data may be processed outside the European Economic Area, including by group companies and service providers. Where that happens we rely on appropriate safeguards such as the European Commission's standard contractual clauses, together with technical and organisational security measures.

7. How long we keep data

Account data is kept while your account is active and for a limited period afterwards. Order, invoice and tax records are kept for the statutory retention period, which is seven years in the Netherlands. Quote requests, support tickets and partner applications are kept for as long as needed to handle the request and for a reasonable follow-up period. Newsletter data is kept until you unsubscribe. Technical logs are kept for a short period for security purposes.

8. How we protect data

Data is stored on managed cloud infrastructure with encryption in transit, role-based access control and row-level security so that customers can only reach their own records. Access by our staff is limited to those who need it for their work, and administrative actions on orders are logged.

9. Your rights

Subject to applicable law, you can request access to your data, correction of inaccurate data, deletion, restriction of processing, a portable copy of data you provided, and you can object to processing based on our legitimate interests. You can unsubscribe from marketing at any time using the link in the email.

To exercise a right, email privacy@epever.com. We may ask for information to verify your identity. You also have the right to lodge a complaint with your national data protection authority.

10. Children

The website is aimed at professionals and adult consumers. We do not knowingly collect data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

We may update this policy when our services, systems or legal obligations change. The version published here, with the date shown above, is the one that applies. Significant changes will be highlighted on the website.
